CRM & AUTOMATIONS

Get your client list out of your head.

Right now, your client list probably lives in three places: your inbox, your calendar, and your memory. A CRM (Customer Relationship Management) system puts it all in one place. Each person, from first inquiry to booked to followed-up, is tracked and cared for by a system designed so that you don't lose track of anybody.

A robust CRM is a promise to your clients that everyone who reaches out will get your care and attention.

It is also a promise to yourself: that when the work day ends, you can turn your brain off, because a system outside your memory is tracking who needs what.

From $300: Custom priced to your needs, from an intake and booking system to a nearly fully automated client journey.

DOES THIS SOUND FAMILIAR?

Somewhere along the way, you became the front desk.

You started this business to do the work.

These days a surprising amount of your week goes to the traffic around the work: answering the same scheduling emails, chasing intake forms, keeping a running mental list of who you owe a reply, and lying in bed rehashing your to do list.

When something slips, it feels like a personal failing, like you should have tried harder or written it down somewhere better.

Here is what is actually happening: Sticky notes and a good memory can carry five clients beautifully. They cannot carry twenty.

Your business has grown past the tools it started with, and trying harder inside those tools mostly produces a more tired version of you.

What this stage needs is a system built to hold the volume, so your attention can go back to the work that grew the business in the first place.

What it feels like on the other side.

Your clients notice first. Inquiries get acknowledged within minutes. Confirmations arrive when people expect them, reminders show up before appointments, and check-ins land at moments that feel considered. From the outside, your business reads as steady and professional, the kind of operation people trust with referrals. From the inside, you know most of it happened while you were with another client.

You know where everything stands. One glance at your pipeline shows who just inquired, who is booked, who is mid-project, and who wrapped up last month. The question "am I forgetting someone" gets a real answer in ten seconds, which is a very different experience from carrying it around as a feeling.

Your evenings come back. The administrative loop that used to run after dinner runs during business hours now, on its own. What you do with that time is not my department, but people tend to have plans for it.

THE WORK

Follow one client through the system.

The clearest way to understand the build is to watch it work:

  • They find you. Someone lands on your website and fills out your form.

  • They hear back fast. Within minutes, a warm reply in your words, with a link to book.

  • They show up. They pick a time, your calendar updates, and reminders go out.

  • You're ready for them. An intake form collects what you need before you meet, and their answers land in their record, home to every note and message from then on.

  • They hear from you again. When the work wraps, a check-in arrives a few weeks later, written the way you would write it.

And at every step, one screen shows you exactly where they stand.

Under the hood, every build rests on the same four bones:

1

Capture

Every inquiry lands in one place, whether it comes from your website, a form, or a booking link. Your inbox stops being your database.

2

Booking & Reminders

A scheduling page that fills your calendar without the back-and-forth, plus automated reminders that make no-shows rare enough to surprise you.

3

The Pipeline

Every person tagged and tracked by where they are: inquired, booked, active, wrapped up. One glance tells you who needs what next.

4

Follow-Up

Sequences that go out on their own: the welcome, the intake, the check-in, the "it's been a while." Written in your voice, sent by the system.

CHOOSE YOUR BUILD

Each build solves a different problem, and because everything lives in one platform, nothing you buy now gets thrown away when you grow. Start where the strain is.

All CRM systems include setup on my managed GoHighLevel platform. After your project is complete, ongoing hosting, software access, updates, and support continue for $50/month, so your system stays secure, current, and ready to grow with your business. Learn more.

IS THIS RIGHT FOR YOU?

A CRM build is a good fit if you…

✓ Keep a running list of "people I need to get back to" in your head

✓ Lose hours a week to scheduling emails and reminder texts

✓ Have had a client slip away simply because the follow-up never happened

✓ Want new inquiries answered warmly even when you are with a client

✓ Are growing, and can feel the current setup starting to strain

✓ Want a system you can actually see into and understand

Probably not the right fit if...

✕ You see fewer than a handful of clients and genuinely enjoy the personal back-and-forth. If it is not a leak, it does not need a patch.

✕ You want to learn to build it yourself. The Coaching plan under The Follow Up is built for exactly that, and I am a former trainer. I love teaching this.

✕ You need heavy enterprise integrations, think Salesforce territory. I have built in those systems, and I will tell you honestly if you have outgrown mine.

HOW IT WORKS

From "it's all in my head" to a system that holds it.

1

We map your journey.

A real conversation about how a client moves through your business, from the moment they find you to long after the work ends. Where it flows, where it leaks, where the manual work piles up, and which parts you want to keep doing by hand because they matter to you.

2

I design the system.

The pipeline, the tags, the forms, the automations. Shaped to how your business actually runs, sized to the stage you are in.

3

I build and you review.

You see the real thing working: test bookings, test sequences, the whole path a client will walk. We adjust until it sounds and feels like yours.

4

It goes live, and we settle it in.

The settling-in period is baked into every build, with room to ask "wait, how does this part work" as many times as you need while the system takes over the day-to-day.

Steady on your busiest week.

The experience your clients get should not depend on how full your calendar was that day. A well-built system makes your best-day follow-through the everyday standard, and it hands you back the hours and the headspace that used to go to holding it all together yourself.

Some answers before you book

Why is there a monthly fee after the build?

Every build includes a required $50/month maintenance plan covering the platform your system runs on. It replaces separate bills for scheduling, email marketing, forms, and contact management. One fee, one connected system, everything talking to everything. You can learn more about it here.

Will automated messages feel robotic to my clients?

Every sequence goes out in your words, saying what you would actually say, on timing we design together. The system handles the sending while the voice stays entirely yours. Most clients never notice a difference, and the ones who do simply notice that you got more consistent.

What happens as I grow?

The system grows with you. The builds stack: start with intake, add the full management system when volume picks up, layer in automation when consistency becomes the goal. Nothing you build gets thrown away, and your $50/month maintenance plan stays the same no matter how much you add. The Follow Up is built for exactly this, expanding your system gradually as your business asks for it. And if you hit a stage where you need a bunch of changes at once, reach out and I will put together a custom quote that builds on what you already have instead of starting over.

I'm not techy. Will I be able to use this?

Yes. I build for real humans with full lives, and I am neurodivergent myself, so designing systems that fit the way a brain actually works is personal for me. Every build ends with a plain-English walkthrough, and the Coaching plan exists if you want to learn to run and revise it yourself.

Can my team members use it too?

Yes. You can add staff or contractors, each with their own login and the access level you choose.

How do we decide what gets automated?

Carefully, and before anything gets built. Plenty of automation exists that your business does not need yet, and some things should never be automated at all. We sort out together what should run on its own, what should stay personal and handwritten, and which workflows actually matter at your current stage. Part of what you are paying for is someone who has built these systems for years and will tell you when a feature would just be one more thing to maintain.

What happens if we stop working together?

Your site stays yours. You can either stay on my monthly maintenance plan ($50/month) for however long you'd like, or I can remove it from my management and “eject” your account so it becomes a fully independent GoHighLevel account under your control, billed directly at GoHighLevel’s standard pricing. No hostage situations here.
